A patient is under the clinical care and control of his/her specialist who may also involve other doctors/ or nurses in treatment if appropriate.
Our clinics are rigorously assessed by the Care Quality Commission (CQC) in England, the Healthcare Inspectorate Wales (HIW) and Healthcare Improvement Scotland (HIS).
For the purpose of this contract, “clinic” shall mean any clinic or hospital The Iron Clinic owns or leases clinical space from. This contract is between The Iron Clinic and the patient. The contract shall be governed by and construed in accordance with English, Scottish and Welsh law and English, Scottish and Welsh courts shall have exclusive jurisdiction. The patient’s or patient representative’s signature confirms acceptance of The Iron Clinic’s terms and conditions.
Except as expressly provided elsewhere in these terms and conditions, a person who is not a party to this agreement shall not have any rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this agreement.
The patient is liable for any charges not settled by an insurer. If there are delays in settlement, there may be penalties, for example the charging of interest, for which the patient will be liable.
The patient undertakes that it is their responsibility to pay for the service received from The Iron Clinic whether or not they have private medical insurance or an arrangement with any other third party. Where The Iron Clinic has a direct billing arrangement with their private medical insurer, they undertake to provide all the necessary information to The Iron Clinic and insurance provider to enable this arrangement to be utilised.
We require payment in full the time of treatment. See Fees section for further information.
The Data Protection Act 2018, which relates to any data processed by The Iron Clinic, is shown overleaf. We will never sell your details onto anybody else.
Clinical reports will normally be sent to your GP following any appointment at The Iron Clinic. We require your consent to enable us to send reports to your GP. We strongly encourage you to permit us to send all clinical information to your GP. In the event that you withdraw consent, you must inform us in writing. We cannot be held responsible if we receive your request to withdraw consent after the letter has been posted.
Insured patients are treated at OneWelbeck. You must authorise OneWelbeck to submit claims relating to your insurer on your behalf and permit them to send necessary clinical details relating to their assessments and treatment onto the insurer in order to receive appropriate authorisation and payment. Please contact OneWelbeck for further information.
The Iron Clinic is required to audit clinical records for quality assurance reasons, which may include your health records. Your data will be treated strictly in line with National CQC/HIS/HIW standards and will be subject to confidentiality according to the Data Protection Act 2018.
The Iron Clinic does not accept any responsibility whatsoever for the loss of any cash or valuables belonging to patients or visitors brought to any of our clinic locations.
The Iron Clinic has in place a Complaint procedure and an access to Medical Records procedure. These are contained within the Patient Guide.
No child under the age of 18 must be left unaccompanied at the clinic and they are not permitted in the clinical room during any assessment or treatment.
As we are a recognised centre of excellence for iron deficiency we often have visiting doctors observing to learn from us. We also train doctors who are joining our existing team of specialists. In order to ensure that they are totally up to speed with our ways of working and able to meet our stringent expectations on technical expertise they all undergo hands on training with one of our existing doctors..
We make every effort to keep all costs to a minimum and ensure that patients are fully aware of what these are. Our self-funding prices are upfront and fixed. They include the cost of both the clinic and doctor and there are no “hidden” fees.
Following initial consultation (Step 1) the vast majority of patients just require one IV Iron Infusion (Step 2) and we highly recommend an online follow up (Step 3). There will however be some patients who require further appointments. It is important to understand that any further appointments or repeat infusions will be charged separately.
The fixed cost appointment prices do not cover the need for any subsequent second consultant opinions on your condition. If we recommend a second opinion (very rarely required) you will be responsible for any fees charged by the other consultant.
We will let you know in advance of consultation and treatment what you will be charged for that appointment. This price will remain valid up to 30 days from the quotation.
All charges will be published on the website www.theironclinic.com for you to check if there have been any changes after the 30 days.
The Iron Clinic reserves the right to refuse to accept you for treatment on a fixed cost basis.
Payment is required in full on the day of your appointment. Consultations are paid in full on booking. Failure to pay the balance when requested may result in forfeiture of the appointment and cancellation fee. It will be at our discretion whether we proceed with the appointment.
Per The Iron Clinic’s cancellation policy, if you fail to give at least 48 hours’ notice and/or do not turn up to your appointment, a cancellation fee of £200 will be charged.
If you are insured, your insurer WILL NOT cover any cancellation fees incurred.
If we are unable to perform treatment on the day due to you accurately disclosing your medical history in advance (resulting in us being unable to proceed with treatment on the day) or you decide you’d rather not proceed with treatment on the day then regrettably our cancellation fee will apply to cover the clinic costs. If the procedure has started, and you opt not to go ahead, the full treatment cost may be charged.
Although our doctors are registered to see Insured Patients, The Iron Clinic is not currently registered with Insurers. As such, we operate our Insured service within OneWelbeck clinic in London (Consultations are online). The fees the insurance copy change will differ from The Iron Clinic’s fixed costs for Self-Funding Patients.
If you have any excess on your policy, especially if you need to pay a percentage of the fees, we would strongly recommend you contact your insurance company to find out what this excess will be. This will not be a percentage of our self-funding fees.
You will normally have to obtain a referral letter from your General Practitioner. Your GP has a right to charge you for this. Prior to any appointment, consultation or treatment, you will have to get an authorisation number from the insurance company for the proposed consultation, investigation or treatment.
You will be provided with the necessary OPCS treatment codes and descriptions. Please ensure your authorisation code covers all treatments you require as, if it is not sufficient, your insurer may not pay and you will be liable for paying for the treatment in full at the insured prices. You will be responsible for paying any excess on your policy.
The invoice for consultation/treatment will be sent directly to the insurance company.
Insured patients are subject to our Cancellation Policy outlined in the Payment Terms above.
The confidentiality of patient information is of paramount concern to The Iron Clinic. To this end, The Iron Clinic fully complies with the Data Protection Act 2018 and Medical Confidentiality guidelines.
As a patient of The Iron Clinic, your treatment is likely to be provided by a doctor who holds practising privileges at The Iron Clinic (in this policy we refer to them as clinicians). Our clinicians (including their medical secretaries) are expected to handle your personal data in line with The Iron Clinic’s privacy policy.
The Iron Clinic does not have its own clinic premises and, as such, operates its service within regulated clinic premises under the clinic’s regulator registration (i.e. CQC/HIS/HIW registered). As such, for regulatory purposes, The Iron Clinic may be required to provide some personal information to the clinics within which we operate out of. Information to include, but not be limited to, the patient’s name and date of birth. The clinic may ask you to provide them with further details on arrival. The clinics within which we operate are expected to handle your personal data in line with The Iron Clinic’s Terms and Conditions.
Clinical information will be kept secure and confidential. It will only be disclosed to and received from those involved with your treatment and care, or to their agents, and, if applicable, to any person or organisation who may be responsible for meeting your treatment expenses, or their agents. Such people or organisations may wish to send details of your treatment or expenses to companies outside the European Economic Area for processing.
Under the Data Protection Act 2018, we have a legal duty to protect any information we collect from you. Records are stored both electronically and in written form. We use leading technologies and encryption software to safeguard your data, and keep strict security standards to prevent any unauthorised access to it. Paper records are kept in locked filing cabinets. Whilst transported between our head office and clinics they are kept on the person of a member of The Iron Clinic staff or, if they have to be left briefly, in a locked car out of view.
Access to clinical information is on a ‘need to know’ basis. The Iron Clinic staff only access records when it is necessary to allow them to undertake their work.
Access to non-clinical information:
Access to non-clinical information may be granted by The Iron Clinic to others (e.g. Medical insurers) on a strictly confidential basis in the course of, and for the purpose of, efficient management and for enabling products and services which we feel may be of interest to you to be brought to your attention. Please let us know if you do not want to receive such information.
The Iron Clinic supports clinical governance and the long term effectiveness of certain treatments is measured. Anonymous or aggregated data may be used by The Iron Clinic or disclosed to others, for research or statistical purposes and registered with such bodies.
We participate in initiatives to monitor safety and quality, helping ensure patients are getting the best possible outcomes from their treatment and care. We are required to share records of the treatment that we provide with organisations including those appointed by government or by law. The records that we share may contain personal information about patients, including you. The organisations with whom we share these records, like us, apply the highest standards or confidentiality to personal information in accordance with data protection laws and the duty of confidentiality. Any information that is published will always be in anonymised statistical form. This information will not be shared or analysed for any purpose other than those stated.
Information may be disclosed to other parties with a view to preventing fraudulent or improper claims.
Your calls to The Iron Clinic may be recorded in order for us to improve the service we provide.
CCTV cameras are installed in some of the premises out of which we operate and recordings retained for a limited period.
